  • 0:01 Hi! Welcome back to the Calibrated Concepts YouTube channel. My name is Ellie. I am the host here and we talk all about websites and simple business systems.

0:12 In my world, they go hand in handbecause your systems are where, your website is where all of your systems interact with your clients, customers, and more.

0:25 So, today, I want to talk to you about 5 sneaky side effects of skipping systems in your business. first one is having a brain that always feels full.

0:39 You are doing everything manually, you're keeping track of everything you need to do in your head. You feel like you're kind of having to keep up and you feel like you're maybe going around and around in circles and maybe you're using spreadsheets or maybe you're using your inbox as a to-do list.

0:59 Or you're keeping, you have multiple notebooks all over the place and to just to try and keep these things out of your head But it's not working because your brain always feels full.

1:09 You feel like you are always having another idea or another task You're in the shower, and you're like oh crap that's thing needs done, right?

1:16 And you're afraid to let it out of your head because you do not have systems. is really, really common. So don't feel bad, but it is something that we can and should fix.

1:28 thing is you may be doing all these manual repetitive tasks and so it's adding to that thing in your brain of like, oh that tiny little thing needs done.

1:37 So your brain always feels full. That is side effect number one. Number two is accidentally dropping the ball and this could be that you end up, because you don't have systems, you end up with a really big, backlog, or you're unable to really say how long a project is going to take, or maybe you have

1:58 forgotten to reply to an email, or something has slipped through the cracks, this is really really common. I think another thing that I think, falls into this category is not being able to find things, right?

2:10 I think it's really common to keep our ideas or thoughts maybe in notes or in emails or whatever, but when the time comes, if you aren't keeping them in a project, management tool, or you're not keeping them in a Google Drive, you don't know where to find them when you need to go back to that content

2:29 . If you need to go back to those ideas, back to those tasks, so it's really easy to drop the ball there.

2:34 Which leads me to number three. Number three is one of the most common ones I see, and it's because you aren't doing things the same way every time, or maybe your team isn't doing things the way that you would do them, or maybe it's that you don't have a script or a template for something, so it happens

2:59 slightly differently every time, and you might leave something off. For example, if you're having a client onboarding call and you forget to tell them about the contract.

3:08 Or about a deposit, because it's the same, it's the same process every time, but you're not using the same script, or the same email template, or those kinds of things.

3:19 It can be really difficult to create brand consistency messages. And a customer experience that makes people want to refer you, if you don't have these things in place.

3:32 Alright, another one, number four, there's four side effects of not having systems in your business. Systems is making less money because you're not using your resources efficiently, you are then have higher operational costs and less profit.

3:52 You are probably wasting your time and maybe even your team's time. On administrative tasks that can be automated or at least can be streamlined, simplified, templated, and that is getting in the way of revenue generation, right?

4:08 It can be so easy. To be, and I would say I'm pretty damn guilty of this sometimes, but it can be so easy to feel like we're working and doing all the itty-bitty things as opposed to doing the work that is actually going to move the needle forward and is going to serve our clients, going to make, bring

4:27 us in more clients, is going to bring on ah good partnerships or deals. That's what we really need to be focusing on and it can be so easy to be caught up in the busy work and not do those things.

4:37 And last but not least. Fifth symptom of not putting in business processes is no CEO time. Now this is something that's come up a lot in recent years, is people talking about taking a CEO day.

4:53 And that's important. But if you're not, if you don't have systems in your business, you're not going to have time to do CEO stuff on a regular basis, which again, can really, really affect all the things we already talked about.

5:05 It can affect your team. It can help make you drop the ball. It can impact your revenue generation. And those kinds of things.

5:13 So you won't have time for strategic planning, maybe, or you're getting bogged down by day to day stuff. You aren't able to adapt to the effort changing market because you don't have the headspace.

5:28 Thank you. To step back and see where you need to make pivots. You might have a difficult time scaling your business and handling growth because you're so clogged up doing teeny tiny admin tasks that you can't take on any more clients.

5:44 Again. Again, affecting all the things we've already talked about because if an onboarding a client takes that long, invoicing a client takes that long.

5:52 If working with a client is taking up so much of your headspace, you have a really finite number of people and customers you can have in your business.

6:00 And this goes for both service-based, which I tend to work with, but also product-based businesses. If you are having to do everything manually, then you can only fulfill so many orders.

6:12 it also can really affect your ability. You to delegate. If you don't have processes in place, you can't collaborate very well, you can't hand things off very well, because people can't make your mind, and they can't do things well or right in your business.

6:31 Some things that I recommend in my business, and in every other business I pretty much work with, to solve some of these things, having a project management tool, using a scheduler, being really picky about how you file COVID-19 documents, making sure that you have templates, scripts for the team, that

6:51 you document your processes on how you like things done with something like Loom. So all of my team, all of my things that I offboard, I'm pretty Thank very much.

7:00 Much create the tutorial in Loom on how I'd like it done or at least my thoughts on the project so that they can take it away and run with it and scheduling time to rest, time to have CEO days, time to create content and market your business.

7:16 Yes. That, that's pretty much what it's all about. If you're not sure how to actually do all those things I just talked about, I have a really cooloffer, it's called the Simplicity Solution and it is a three month retainer that I do all those things with you, I do all the techy bits and I teach you how

7:34 to do these things in your business going on a ongoing basis. If you're looking for just a little bit of help, maybe not everything that I have to offer.

7:43 I do have toolkits In my online shop, I'll put that in the chat and that means that you can pick up and run with a specific area if you want.

7:52 Maybe it's your client communication or your time management or anything like that. There's so many toolkits in there And I'd love to help make your business simpler.
