4 Super Inexpensive Tools My Business Can't Live Without (2023 version)

In my work it’s essential that I am flexible and knowledgeable about as many tools as possible to meet my clients where they are and take their to-do list stress away. There are loads of absolutely incredible software options out there and I’m a firm believer that there is a system out there for every working style.

Buttttt… I do have my favorites. Ones that I could not live without and it’s changed as my business has grown. These are the ones I’ve become dependent upon and use absolutely every single day.

SQUARESPACE

“No code needed”, for me that was enough said. For a couple hundred per year I have a gorgeous site and I never need to think about code updates, security or third party plug-ins. I designed my very first Squarespace site in 2017 using one of their templates and now designing fully custom websites on the platform is one of the cornerstones of my business. Both me and my clients love that we’re able to change whatever we’d like any time as our businesses and brands evolve.

You can use the code CALIBRATEDCONCEPTS for 10% off a new Squarespace subscription.

DUBSADO

My business grew to the point that I needed to implement a better solution for my client onboarding and automations. I was using several tools to make this happen and I needed it to all be in one place (and helpfully at a lower cost). I love that I can track everything I need to know about a client and that so many steps happen automatically from contracts, to appointment schedulers, to emails and invoice installments (and payment reminders).

Every week, I get new leads from the links on my website and I have all the information I need to make that first interaction the best it can be (and serve them well when they become a client too).

CANVA

Once I had my brand designed, I knew I wanted to be able to create graphics for my blog, YouTube channel, social media and more that all used the same key elements. Canva brings design to the fingertips of non-creatives and amateurs. And while I’m still can’t use Adobe design products, I am a whiz with this tool and make everything pretty and on brand. I also use the elements like icons in my website designs and simple systems that I design for clients!

ASANA

I use this free tool to keep track of all of my business admin and client work by creating projects, standard operating procedures, recurring tasks, checklists and more! Having everything all in one place makes sure nothing slips through the cracks as my workload increases or the seasons of life happen (with all it’s fun unexpected quirks).

It also means I can outsource to my team because I have Loom tutorials for their tasks ready for them and all project assets (photos, questionnaires, etc.) are living in one place!

What are the tools you can’t go a single day in your business without using?

Ellie McBride

A few years ago I moved halfway across the world after marrying a beautiful man from N. Ireland. To support a more flexible life, I created systems and a kickass website to protect my time, energy and yes my flexibility. And then I started doing it for my clients too!
